How Rubenstein Law Continues Doubling In Size

A law firm that doubles in size every three years needs an operating system that can facilitate transparency and uniformity. That’s why Rubenstein Law, a law firm with ten offices throughout Florida, turned to Litify.

Their previous operating system was stuck in The Dark Ages, with no capacity for improvement. When they set out to find the best operating system, doing demos with all the top contenders, they landed on Litify. They found it to be “by far the best product on the market that does what it does.”

World-class software for Rubenstein — and Litify clients everywhere

Chief Operating Officer Nicole Armstrong spearheaded the implementation of Litify at Rubenstein Law. She came to the table with very specific requests and her team dedicated itself to fine-tuning the platform so it now does exactly what they want it to.

“The rewards are great if you are willing to put the time into it. It will ultimately save you tremendous amounts of hours,” Robert Rubenstein, CEO and President.

Armstrong was impressed with Litify’s dedication to delivering exactly what Rubenstein Law needed. “Implementation was 1,000x easier than we expected,” she said.

Thanks to ingenious requests from Rubenstein Law, Litify has issued several releases for all of our clients. “Litify was very open to ideas and suggestions,” Armstrong said. “When they saw ideas that could make the platform better, they applied globally.”

Due to these updates, the firm is a leading example of what's possible with the platform — and now all of Litify's clients benefit from them.

“We want everybody to be able to have successful law firms,” said Rubenstein. “We’re interested in making sure that injured people, whether we represent them, or other people represent them, get the best possible representation. And I think Litify helps you do that.”

Litify helps keep 250+ employees on track

Personal injury law is a team effort at Rubenstein Law. Each case is the result of input from many individuals. To keep cases on track, a transparent, consistent process is essential.

Litify gives Rubenstein employees a path to follow for each type of case, like the branches of a tree, which changes depending on the information that is added to the system. Since the system offers a blueprint for each case, it makes training new employees simple.

Having a consistent process and easy access to information empowers staff to do their jobs well. All of the phone calls, notes, insurance information, and injuries for each client are right at their fingertips.

The platform’s transparency also makes it easy for the firm to spot which employees may need more support or training.

For Rubenstein, having a uniform system in place is the secret to successfully resolving cases for their clients.

“You don’t want to reinvent the wheel every time you handle a case. You want to make sure cases are handled uniformly,” said Rubenstein.

Real-time dashboards ensure even representation

Being able to drill down into every aspect of the firm allows Robert Rubenstein to ensure that nothing slips through the cracks. If he sees older cases on his dashboard that aren’t collected, he calls the lawyer to find out what’s holding up the case.

Robert Rubenstein isn’t the only person holding staff accountable though. The law firm has entire committees that evaluate attorney performance.

Litify’s easy-to-generate reports and graphs allow them to see what the average fees should be. Attorneys performing over the median are able to train those who aren’t performing at the same level.

Every lawyer and each department head at Rubenstein also has his or her own dashboard relevant to their practice area.

The Head of Litigation’s dashboard, for example, presents cases headed to trial, discovery information, and all presuit data. “I don’t need to look at it, because he’s looking at that,” Rubenstein shared.

When every employee at Rubenstein Law can own their role, from leadership to support staff, it motivates the team.

“We want every client to get the absolute best legal representation,” said Rubenstein. “And if you don’t have a handle on what everybody does in your firm, they’re not going to get it. They’re going to get uneven representation.”

Data shows Rubenstein where to expand, and when to hire

While committees and department heads drill down into the brass tacks of the firm, Robert Rubenstein mostly keeps his eye on the big picture. He can generate reports that compare month to month, average fees by case tape, total fees, collections, and sign-ups for a financial overview of the firm.

“Whatever you want to look at, you can see,” he said.

He’s also created a custom report that he calls “historical dashboards.” With a click of a button, he’s able to compare the current year to each previous year.

Being able to visualize progress helps him build it. Data shows Rubenstein where to add new offices, which practice areas to grow, and when to hire new people.

Rubenstein Law prides itself on being profitable. As a firm of 250 people with 45 lawyers and counting, they constantly need new office space. They have to be able to project their budgets for the future, and Litify dashboards make this fast, easy, and infallible.

With Litify, Rubenstein Law now has an operating system that allows them to sustain and improve their rate of growth: doubling in size and revenue every three years.

“You can’t grow like that without an infrastructure. Litify helps give you that infrastructure.”
